We briefly talked about how to disable/hide Power Automate action group for all users a few days ago. Today I would like to discuss another similar need, how to disable/hide OneDrive action group for all users.

OneDrive for work or school (formerly known as OneDrive for Business) is a cloud storage service that is included in Microsoft 365. Business Central makes it easy to store, manage, and share files with other people through OneDrive. On most pages where files are available, such as the Report Inbox or files that are attached to records, you’ll find an Open in OneDrive and Share actions.

And with Business Central 2023 wave 1 (BC22), Microsoft has added the Edit in OneDrive feature in Business Central web client.

First of all, unlike Power Automate action groups, we can move or hide OneDrive actions using personalization.

These are actions added via AL code, so in addition to Personalization, using Page customization and Page extension can also hide it.

But please note that this method is only valid for the current page. If you need to hide it on all pages, you also need to modify all these pages. But on the other hand, if you want to disable the OneDrive action group action from specific pages, please use this way.

PS: Administrators can customize page layouts for a specific profile, based on business roles or departments, so that all assigned users see the same customized page.

With Business Central online, the connection between Business Central and OneDrive is automatically configured for you, and the OneDrive features are readily available to users by default. If you want to turn off some or all of the features off, you can use the OneDrive Setup assisted setup guide in the Business Central client.

Use for system featuresTurning on this option activates the following features:The Open in Excel and Edit in Excel actions on list pages will automatically copy the Excel file to OneDrive, then open it in Excel Online. For more information, see Viewing and Editing in Excel.Sending a report to an Excel or Word file will automatically copy the file to OneDrive, then open it in the Excel or Word online. For more information, see Saving a report to a file.

And you can also complete these steps to remove the OneDrive action group and its action from pages for all users. This is linked to the settings in OneDrive Setup.

  • In Business Central, search for and open the Privacy Notices Status page.
  • In the Microsoft OneDrive row, select the Disagree for Everyone check box.

Disagree for Everyone
Specifies whether an administrator has disagreed to the integration’s privacy notice on behalf of all users.
