I will continue to test and share some new features that I hope will be helpful. In this post, I would like to talk about Copy contacts from BC to Microsoft 365 (Outlook&Teams). This is part of the update below.

Business value
Whether you’re in sales, purchasing, accounting or running the business, you use Outlook as your interface to the world outside your organization. The Outlook add-in and contact synchronization features from Business Central allow you to stay in the flow of work, getting more work done without leaving your inbox.

Feature details
We’ve improved the security of the Outlook add-ins that help users manage their business inbox. When you install the add-ins, you’ll need to complete an extra one-time setup to ensure your account stays protected. Administrators can still automate add-in deployment across your organization using centralized deployment.

We’ve also improved the user experience, speed, and security of the contact synchronization feature that people can use to copy contacts from Business Central to Microsoft 365. You can easily author mails or schedule meetings with business contacts from Outlook and Teams. To synchronize contacts, go to the Contacts list and find the new Synchronize with Outlook action.

As we continue our work to keep our customers secure, we’re deprecating the Exchange Synch setup pages that are no longer needed for connecting Business Central with Outlook and Exchange.

Business Central offers an add-in that lets you manage business interactions with your customers and vendors, directly in Microsoft Outlook. With the Business Central add-in for Outlook, you can see financial data related to customers and vendors, and create and send financial documents, such as quotes and invoices. We’ve discussed some related topics before.

With this wave (BC28), Microsoft has further enhanced this feature. Let’s see more details.
On the Contacts list, you can find the new Synchronize with Outlook action. Choose it.

Then choose Next.

This is because it requires integration with Microsoft 365, and you need to allow the request.

Choose contacts

Filter the contacts you want to sync. If you want all of them, just click OK.

Done.

You can specify the Contacts folder, the default is “Business Central”.
Then you can specify whether to force full sync.

Force full sync
When this is enabled, Business Central will synchronize contacts no matter when they were last modified. This may take longer, but can overcome some synchronization issues.

Choose Next.

In some cases, it is necessary to force full sync. Choose Yes.

Great.

Select What to update.

What to update
Specifies the direction of synchronization. If you only update Outlook and Teams, no changes will be made to the contact list in Business Central. If you update both, the contacts from the specified folder in Outlook and Teams will also be copied back to Business Central and other users may be able to see them.

Then choose Synchronize.

Done.

PS: This does not require enabling Outlook Add-in Centralized Deployment first.

Then you can find these synced contacts in Outlook or Teams.

Important
Customers using the Outlook add-ins or contact synchronization must upgrade to version 28.0 (or later) of Business Central to continue using these features. Beginning October 1, 2026, these features may no longer function in earlier versions of Business Central due to the discontinuation of Exchange Web Services in Exchange Online.

PS: I also tested the Outlook integration settings in BC28.0, and it looks no different from previous versions.

Go to Microsoft 365 (opens in a new window)

Done

Back to BC, choose Done.

The app you are uploading has already been deployed. To manage your app, click View.
