Today I would like to share another mini tip about Business Central, how to require users to enter a more detailed description when posting a journal line of type G/L Account.
When entering general journal lines on a form, the system automatically fills in the description field.
Description
Specifies a description of the entry.

This description can be edited.

This description is also stored in the G/L entry after posting the journal.

So for a good audit trail, a more detailed description is desirable, when you post a journal line of type G/L Account. In the standard, to force the user to enter a more detailed description, it’s possible to choose if the system must fill in automatically the description of the G/L account or leave the field blank. Let’s see more details.
On the G/L Account Card page, there is an Omit Default Descr. in Jnl. Field.
Omit Default Descr. in Jnl.
Specifies if the default description is automatically inserted in the Description field on journal lines created for this general ledger account.

If the Omit Default Descr. in Jnl. Field checkbox on the G/L Account Card page is checked, the system doesn’t fill in the Description field for that G/L account when selected in a general journal line.

When posting the journal lines, the system checks if all the Description fields are filled in. If there’s a blank description, an error message appears.
When Omit Default Descr. in Jnl. is selected for 8430, Description must have a value.

Therefore, if the user does not enter a new Description, journal lines will not be posted. However, we cannot control the content entered by the user, so we can only hope that the user can enter a more detailed description.
