Business Central 2025 wave 1 (BC26): Use enhanced customer document layout for service management

Dynamics 365 Business Central

Hi, Readers.
The public preview for Dynamics 365 Business Central 2025 release wave 1 (BC26) is available. Learn more: Link.

I will continue to test and share some new features that I hope will be helpful.

Use enhanced customer document layout for service management:

Business value:
Businesses deal with multiple customer and vendor contacts who are responsible for different areas of operation. For example, accountants, purchasers, and warehouse staff. Because their interests typically differ, you’ll probably want to generate and send different types of documents to them. You can now save time when you send documents to different customer or vendor contacts by setting up specific contacts to use with specific documents. For example, send service invoices to accountant contacts and service orders to your customers’ purchasers.

You can set up default reports to use to print sales, purchases, and service documents, such as orders, quotes, and invoices, and which layout is used. For example, if you have a specific layout for service invoices, you can specify that report in the Report Selections – Service page.

Select Invoice usage.

You can then use the report when you send or print service invoices.

PS: The default version of Business Central includes the following Report Selection pages:

  • Report Selection – Sales
  • Report Selection – Project
  • Report Selection – Service
  • Report Selection – Purchase
  • Report Selection – Cash Flow
  • Report Selection – Warehouse
  • Report Selection – Inventory
  • Report Selection – Bank Account
  • Report Selection – Production Order
  • Report Selection – Reminder/Finance Charge

Report Selection is a standard (system-wide) setting. If customers or vendors have their own reports or layouts, you can set them in Document layouts.
Document layouts use report layouts to define the look and feel of documents that you send to customers and vendors. Business Central provides standard layouts, but you can also tailor custom layouts for each of your business partners.
Customer Card -> Document Layouts:

With this wave (BC26), the Document Layouts page for a customer now contains additional usage options for service quotes, orders, invoices, and credit memos.

In BC25 and previous versions:

For example,

PS:
1. You can quickly load the documents by using the Copy from Report Selection action on the Document Layouts page. But as of the current version, this does not automatically add service related usages.

2. On the Document Layouts page, the Select Email from Contacts action let’s you choose from a list of the contact email addresses that you registered for the customer or vendor.

You can also add email addresses manually. If you enter multiple addresses, separate them with a semi-colon, and don’t add spaces between the addresses. More details: Dynamics 365 Business Central: How to add multiple email addresses to a customer/vendor/contact

Great. Give it a try!!!😁
