Service documents often change and evolve during their lifecycle. The archiving capability gives you control over your service data through audit trails and version control.
As you might know, you can archive sales and purchase orders, quotes, return orders, and blanket orders in Business Central.
You can archive a sales or purchase document several times, saving a different archived version each time.
In the last major release (BC24), Microsoft released the Archive feature for Projects. More details: Business Central 2024 wave 1 (BC24): Archive projects (jobs)
And with this wave (BC25), finally we can archive service management documents.👏👏👏
Archiving capabilities for service management are similar to the functionality you might already be familiar with from the sales and purchase areas. You can set up documents to archive automatically, so that you don’t need to think about it. With automatic archiving, Business Central creates a new version of the archived document when people do the following:
- Change the status of a document or delete it.
- Print, download, or send a document by email.
- Post a service order.
- Convert a service quote to an order or service contract quote to contract.
You’re in full control of archiving. The following list shows the documents and options you can choose when you set up automatic archiving on the Service Management Setup page:
- Archive service quotes: Never (default), Questions, Always.
- Archive orders: Yes/No

PS: The following setting is mentioned in the Release Plan, but is not available in BC25.0 Public Preview at least.
- Archive service contract quotes: Never (default), Question, Always
Let’s look at a simple example, Question on the service quotes: Choose Make Order
Done.
And the Service Quote has been converted to Service Order.
You can also use the Archive action to manually archive versions of service documents, such as service quotes, contract quotes, and orders.
You can reuse earlier versions of archived service quote, if needed. For archived service quotes where the original still exists and isn’t posted, you can use the Restore action to overwrite the current service quote with an archived version.
Quote 1001 has been restored.
To keep the size of your database under control, archived service documents are added to a list of Retention policy tables. More details: Define Retention Policies
