Dynamics 365 Business Central: How to quickly check inventory quantity for locations at Item-Variant level (Variant inventory per location)

Dynamics 365 Business Central

Hi, Readers.
Today I would like to talk about how to quickly check inventory quantity for locations at Item-Variant level (Variant inventory per location).
Item variants are a great way to keep your list of products under control in Business Central. For example, you have a large number of items that are almost identical and vary only in color. You can define each variant as a separate item. But you can also choose to set up one item and specify the various colors as variants of the item.

Then, when you create a sales document and add the item, you can specify the variant of the item in the Variant Code field.

The same applies to purchasing documents.

More details: Manage product variants

When we need to confirm the Item-Variant level inventory, we generally use the following feature, Item availability by variant.

PS: The page shows one line for each period. Each line shows the item’s availability figures in the following key fields:

FieldDescription
Gross RequirementSpecifies the sum of the total demand for the item. The gross requirement consists of independent demand and dependent demandIndependent demand includes sales orders, service orders, transfer orders, and production forecasts. Dependent demand includes production order components for planned, firm planned, and released production orders. It also includes requisition and planning worksheets lines.
Scheduled ReceiptSpecifies the sum of items from replenishment orders. The calculation includes firm planned and released production orders, purchase orders, and transfer orders.
Planned Order ReceiptSpecifies the sum of items from planned production orders.
Projected Available BalanceSpecifies the calculated available inventory.
Planned Order ReleasesSpecifies the sum of items from replenishment order proposals. The calculation includes planned production orders. it also includes planning or requisition worksheets lines that are calculated according to the starting date in the planning worksheet and production order or the order date in the requisition worksheet. This sum isn’t included in the projected available inventory. However, it indicates which quantities should be converted from planned to scheduled receipts.

This feature is not a list, you can only view it for each item. And if you also want to view location information, this is not possible. So can we view inventory quantity for locations at Item-Variant level (Variant inventory per location)? Yes, in this post, , I will briefly share three ways.

1. Using Inventory Valuation (Not supported in W1): Inventory valuation is the determination of the cost that is assigned to an inventory item, as expressed by the following equation.
Ending inventory = beginning inventory + net purchases – cost of goods sold
More details: Design details: Inventory valuation

Enter Inventory Valuation in tell me, and then choose the related link.

Select Breakdown by Variants and Breakdown by Location

Great.

My test Version: US Business Central 24.2 (Platform 24.0.22059.0 + Application 24.2.20227.20460)

PS: In W1 version. More details: Dynamics 365 Business Central: Countries/regions where Microsoft provides the regulatory compliance and other local functionality (First-party localization)

2. Using Physical Inventory Journals: Calculate expected inventory in basic warehouse configurations

Enter Physical Inventory Journals in tell me, and then choose the related link.

Use the Personalization function to add Variant Code to the page.

Choose the Calculate Inventory action from Prepare.

On the Calculate Inventory page, specify the conditions to use to create the journal lines, such as whether to include items that have zero recorded inventory. Document No. is required. Then choose the OK button. (Set filters if you only want to calculate inventory for certain items, bins, locations, or dimensions)

Great.

3. Using Item Ledger Entries (In-client Analysis mode): An Item Ledger Entry is a record that is created whenever an item is transacted in Business Central

The In-client Analysis mode lets you analyze data directly from the page, without having to run a report or open another application, such as Excel. The feature provides an interactive and versatile way to calculate, summarize, and examine data. Instead of running reports using different options and filters, you can add multiple tabs that represent different tasks or views on the data. More details: Business Central 2023 wave 1 (BC22): Analyze, group, and pivot data on list pages using multiple tabs (In-client Analysis mode) and Analyze list page and query data using data analysis feature

Enter Item Ledger Entries in tell me, and then choose the related link.

Use the Personalization function to add Variant Code to the page.

Click the Enter Analysis mode icon.

A very simple example. You can rename the tab and share it with other users.

Very simple, give it a try!!!😁

PS:
1. Dynamics 365 Business Central: Ignoring Item variant/reference description for sales/purchase documents (Don’t update Item Description)

2. If you only need to view inventory quantity for locations at Item level (Inventory per location), using the standard Query (Items by Location) below is fastest.

END

Hope this will help.

Thanks for reading.
